Terms and Conditions

At Spark Science, we aim to provide a safe, enriching, and enjoyable experience for every participant. Below is a clear summary of our policies and expectations. By booking a party, camp, workshop or event with Spark Science, you agree to these terms. For any questions, email us at info@sparkscience.ch.

Definitions:

  1. Client: The individual or entity who books and pays for a Spark Science service, such as a party, workshop, or camp. Clients must be at least 18 years old to book Spark Science services and agree to these terms and conditions.

  2. Participant: A child or individual attending and actively engaging in a Spark Science event or activity.

  3. Event: Any organized activity or program provided by Spark Science, including parties, workshops, camps, or shows.

  4. Party: A private science-themed celebration hosted by Spark Science for a client and their invited guests.

  5. Workshop: An interactive, educational session focused on hands-on science experiments or demonstrations, typically conducted for a group.

  6. Camp: A structured multi-day program organized by Spark Science, offering various science-related activities and learning experiences.

General Conduct:

  • All participants, parents, and guardians must demonstrate kindness and respect to ensure a positive learning environment.

  • During parties an adult must remain present during the event to supervise and assist if needed.

 

Safety and Participation:

  • The safety of all participants is our priority. By booking, you confirm your child is physically, emotionally, and socially able to participate in activities and meets age requirements.

  • Certain activities require space, ventilation, or other conditions. Clients must meet setup requirements for safety (e.g., table, floor space, water, electricity).

  • Some experiments involve hazards (e.g., dilute chemicals, dry ice etc). Spark Science minimizes risks through rigorous safety measures. Clients must follow guidelines, including ensuring children wash hands after activities.

  • If a participant`s behaviour is a cause for concern we will notify the guardians as soon as possible and try to find a solution that works within the best interests of the child concerned, the other participants and the staff.

  • If a participant exhibits harmful or consistently disruptive behavior toward others, staff, or themselves, Spark Science reserves the right to revoke their camp place, modify activities, or terminate the party without a refund.

Client-Initiated Cancellations

Cancellation Policy: Parties, Camps, shows and other events

  • 30+ days before event: (Full refund minus a 25 CHF admin fee).

  • 14–29 days: 30% cancellation fee applies.

  • 7–13 days: 50% cancellation fee applies.

  • Less than 7 days: No refunds.

(Parties only) Change of party date within 7 days incur a 150 CHF fee. Dry ice cancellations require an 85 CHF fee.

 

Cancellation Policy: In school workshops:

  • 14+ days before start of workshops: full refund (Full refund minus a 25 CHF admin fee).

  • 7 days before start dates 50% cancellation fee applies

  • Refunds are not available once the course has started or for missed classes/non-attendance. However, enrolment may be transferred to another child before the course begins.

 

Spark Science-Initiated Cancellations:

  • If Spark Science must cancel an event due to emergencies, adverse weather conditions affecting transport or presenter safety, illness, or insufficient participant numbers, clients will be offered the option to reschedule or receive a full refund.

  • Reservations made via the online booking form or agreed upon and confirmed via written email without payment can be held for 72 hours. Payment must be completed within this time to confirm the booking. If payment is not received, the reservation will be cancelled, and the camp place or the party date will become available to others.

  • Camp places and party bookings are allocated on a first-come, first-served basis.

  • After payment is received, customers should be notified via an automated email through our website. Camp participants will receive a detailed outline one week before camp via direct email, while party clients will receive a confirmation call to review details and address questions.

  • Force majeure includes events such as natural disasters, pandemics, government restrictions, or other unforeseen circumstances beyond Spark Science's reasonable control

Refunds are processed within 14 days, minus any applicable fees.

Fees, Booking, and Payment:

  • Clients book parties online with an initial payment. The remaining balance (for any Add-On items) is invoiced after confirmation and is due within 30 days.

  • Changes to booking details (e.g., theme, guest count, Add-Ons) are subject to availability.

  • The main party fee includes up to 10 guests. Additional guests are charged 25 CHF per child, with a maximum of 14 children allowed.

  • Parents/guardians must provide an emergency contact number during booking or upon drop-off

  • By completing the online booking form, clients confirm their acceptance of these terms and conditions.

Event Requirements (parties):

  • A table for experiments, open floor space (4–6 sq. meters), access to water, a drain, and (if needed) electricity must be provided.

  • Outdoor parties are permitted in dry conditions and temperatures above 10°C. Access to a drain and electricity must be safe and hazard-free.

  • Parties must start at the scheduled time. Delays may lead to a shortened event. If the event can be extended, additional charges of 50 CHF per hour will apply, subject to the presenter's availability.

  • Camp hours and locations are specified in the camp advertisements and the parent information sent one week prior to the start date. Children must be dropped off and picked up within the designated times (9:00–16:30) and at the specified locations.

  • If you are unable to meet these times, please inform us in advance. Early drop-off (before 9:00) and late pick-up (after 16:45) can be arranged at 20 CHF per hour per child, billed in 15-minute intervals.

Allergies and Medical Conditions:

  • Parents/guardians must disclose any allergies, medical conditions, or special needs of participants during booking to allow Spark Science to ensure appropriate accommodations and safety measures.

 

Parental Consent for Hazardous Activities:

  • By booking, parents/guardians consent to their child participating in activities involving low-risk hazards (e.g., dilute chemicals, dry ice). Spark Science follows strict safety protocols to mitigate risks

 

Damage to Equipment:

  • Clients are liable for damage to equipment caused by participant negligence or intentional misuse.

 

Activity Content and Language:

  • Activities are tailored to participant age, ability, and group size. Spark Science may adjust or substitute activities or materials as needed.

  • Programmes and activities are conducted in English or, upon request during booking, in German.

Liability and Insurance:

  • Spark Science is covered by public liability insurance. All presenters are trained, DBS-checked, first aid trained and insured.

  • Party clients are responsible for venue suitability and ensuring no alarms (e.g., fire or smoke detectors) interfere with experiments.

  • Spark Science is not responsible for any costs incurred if emergency services, such as fire brigades, are dispatched to the venue.

  • Spark Science is not liable for accidents, venue/property damage, or improper use of take-home experiments (e.g., slime). Clients are solely responsible for the safe handling and storage of take-home items (e.g., slime, experiments) after the event. Spark Science is not liable for damages or injuries resulting from improper use.

  • Clients are responsible for ensuring their own property insurance covers accidental damage caused during the event.

Hygiene and Food:

  • All equipment is sanitized before each event, with lab coats and goggles cleaned thoroughly on a regular basis.

  • Food and drinks (outside of provided items by Spark Science) are not permitted during experiments to ensure safety and prevent distractions.

  • Spark Science provides high-quality ingredients for edible experiments, such as ice cream workshops. All ingredients are sourced from reputable suppliers and stored in compliance with food safety guidelines.

  • By participating in these activities, parents/guardians/schools acknowledge that:

    • They have disclosed all relevant allergies or dietary restrictions during booking to allow for appropriate accommodations.

    • Spark Science is not liable for allergic reactions, food intolerances, or illness resulting from undisclosed allergies or sensitivities.

  • While every precaution is taken to ensure the safety of edible experiments, Spark Science is not responsible for adverse reactions or illnesses that may arise unless they are directly caused by negligence in ingredient handling or preparation.

  • Take-home edible items are the sole responsibility of the participant's parent/guardian. Spark Science is not liable for any issues arising from improper storage, handling, or consumption after the event.

Permission to Participate:

Participation in Spark Science programs may include activities like van transportation (with all safety measures adhered to), high ropes courses, sledding, ice skating, museum visits, trips around Switzerland via public transport, science experiments, and playground activities.

While we take every precaution to ensure safety, these activities involve inherent risks. By enrolling, you accept these risks and release Spark Science from liability for injuries, losses, or damages, except in cases of gross negligence or wilful misconduct.

Workshop Requirements:

Workshops require a minimum number of participants to proceed and have a maximum capacity. If minimum numbers are not met, Spark Science reserves the right to cancel the workshop. Customers will be notified via email at least 24 hours in advance and will receive a full refund or credit.

  • Workshops require access to water, a drain, a group table, and sufficient floor space for demonstrations.

  • Spark Science provides table and floor protectors where needed and ensures the space is left clean and restored to its original condition. If specific arrangements (e.g., desk layouts) are required, please notify us in advance.

Safety in Workshops and Schools:

  • Spark Science conducts thorough risk assessments and adheres to all regulatory guidelines for chemical handling and safety. While precautions are taken, some activities involve materials like sharp objects, dilute chemicals, flammable substances, and dry ice, which carry inherent risks.

  • We follow the drop-off and pick-up procedures outlined by the school, which will be agreed upon in advance with the school administration.

  • Participants are reminded to wash hands after activities. Spark Science is not responsible for incidents involving take-home items, including their consumption.

  • In case of accidents or injuries, Spark Science follows a strict policy that includes reporting the incident, notifying the school and parents, administering first aid, and involving emergency services if necessary. A Spark Science staff member will accompany the child if a parent is unavailable.

  • Children must be covered by personal liability and basic health insurance. Spark Science is not responsible for personal injuries or loss/damage to property.

  • Spark Science reserves the right to deny participation to any child who is not meeting safety or behavioral requirements for the activity.

Behaviour and Conduct in Workshops:

Spark Science reserves the right to pause or terminate a session and exclude participants whose behaviour endangers themselves, others, the environment, or equipment, or significantly disrupts the experience for other attendees.

Participants are required to act respectfully, follow instructions, and adhere to rules similar to those in a classroom or laboratory setting, including:

  • Refraining from eating or drinking during the workshop (unless permitted by Spark Science).

  • Storing bags and personal belongings securely to prevent trip hazards.

  • Only handling equipment when instructed by the Spark Science facilitator.

  • Moving calmly and maintaining controlled behavior within the workshop space.

  • Wearing safety gear, such as goggles and lab coats, when instructed.

  • Promptly reporting spills, breakages, or injuries to the facilitator.

  • Demonstrating respectful and collaborative behaviour toward peers and facilitators.

If a participant's behaviour becomes problematic, the school and guardians will be informed. Repeated concerns may result in the child being removed from the workshop without a refund.

 

Forgotten or Left-Behind Items

  • Spark Science ensures thorough checks are conducted after events to retrieve all equipment, materials, and supplies. However, in the rare event an item is inadvertently left behind at a client’s venue:

    • Clients are responsible for safely storing the item out of the reach of children until Spark Science can arrange collection.

    • Spark Science is not liable for any injuries, damages, or incidents resulting from the improper handling, misuse, or failure to safely store any forgotten items.

    • Clients must notify Spark Science immediately if an item is discovered post-event. Spark Science will arrange a prompt and secure retrieval or provide guidance for safe disposal if applicable.

Transportation During Events / Camps / Workshops

  • Spark Science may organize trips as part of its events, using company-owned or rented vehicles. All transportation is conducted with safety as a top priority and in accordance with local traffic laws.

  • By enrolling in Spark Science events, parents/guardians:

    • Consent to their child being transported in Spark Science vehicles or rented vehicles operated by qualified and insured drivers employed or contracted by Spark Science.

    • Acknowledge that Spark Science ensures all vehicles used are properly maintained, insured, and equipped for the trip.

  • While Spark Science takes every precaution to ensure safety during transportation, parents/guardians understand and accept that transportation involves inherent risks. Spark Science is not liable for injuries, delays, or incidents caused by factors beyond its control, such as weather, road conditions, or actions of third-party drivers.

  • Spark Science reserves the right to cancel or modify trips if conditions are deemed unsafe (e.g., adverse weather). In such cases, clients will be informed promptly, and alternative arrangements will be made when possible.

  • Emergency contact information for participants must be provided prior to the event. If a child requires medical attention during transportation or a trip, Spark Science will notify the parent/guardian immediately and take appropriate action.

 

Missing or Abducted Child

  • Spark Science prioritizes the safety and well-being of all participants. During events, all reasonable precautions are taken to ensure children remain supervised and within designated areas at all times.

  • Parents/guardians are responsible for ensuring their child is dropped off and picked up at the specified times and locations. Children will only be released to authorized individuals as identified by the parent/guardian.

  • In the rare and unforeseen event that a child goes missing or is suspected to have been abducted during an event:

    • Spark Science will immediately notify the parent/guardian and local authorities.

    • A systematic search of the venue and surrounding area will be conducted in coordination with the appropriate authorities.

    • Spark Science will cooperate fully with law enforcement and provide any relevant information or assistance required.

  • While Spark Science takes every precaution to prevent such incidents, parents/guardians acknowledge that unforeseen circumstances may arise, and Spark Science cannot be held liable for incidents beyond its direct control, including third-party actions (e.g., abduction by unrelated individuals).

 

Liability in Public or Semi-Private Spaces

  • Spark Science is not liable for any incidents, injuries, or damages that occur in public or semi-private spaces during events. This includes, but is not limited to, risks such as accidents, abduction, dog attacks, issues with public facilities (e.g., toilets), or disruptions caused by third parties.

  • Spark Science will make reasonable efforts to ensure safety during the event, including securing activity areas and instructing participants on behavior expectations. However, Spark Science cannot guarantee absolute safety in public or semi-private environments.

  • Clients and participants are encouraged to report any safety concerns immediately to Spark Science staff, who will take appropriate action within the scope of their responsibility.

  • Spark Science is not responsible for incidents involving external parties, including the actions of other individuals, animals, or public services in the vicinity of the event location.

By booking with Spark Science, you agree to receive our newsletter. You can unsubscribe anytime via the link in our emails.

Permission to share media:

We love capturing the joy and excitement of our programs! By attending a camp, workshop, or event, you consent to us capturing and sharing photos or videos of your child with parents, on our website, and on social media. No names or personal information will be shared. If you wish to opt out, please email us at info@sparkscience.ch. For parties, photos will only be taken if agreed upon in advance. We store media as long as relevant to Spark Science and it can be deleted upon client request. To opt out of media use, clients must email Spark Science at least 48 hours before the event start date. Verbal requests made during the event will not be considered valid.

Privacy & Data Protection:

When you book a service or submit a contact form, we collect personal information (e.g., name, email address, phone number) to process your booking and provide the service. Your information is kept confidential and shared only with payment providers as needed to complete your transaction. While Spark Science takes measures to protect your data, we cannot guarantee security against breaches or misuse by third-party providers. Credit card information is not retained.

Materials and Intellectual Property:

All content and materials created or provided by Spark Science during any service remain the intellectual property of Spark Science.

These materials are provided strictly for personal use and may not be shared, reproduced, modified, or distributed to any individual or third party for any purpose without prior written consent from Spark Science.

 

These Terms & Conditions, governed by Swiss law and local court, apply to my child's current and future participation in any Spark Science classes, camps, or events. By booking with Spark Science, I confirm that I have read, understood, and agreed to these Terms & Conditions.
